How do I map custom fields?

Am I using QB custom fields?

Many of our customers are using pre-built fields. These fields are much easier to set-up and we recommend using them, instead of creating a custom field in QB. To use these fields, follow these steps:

  1. In QB, open an invoice.
  2. Click the manage tab and click customize data layout: 

If you see your field names in other or FOB, then you are using a predefined field.

How do I bind a custom field to the QB other or FOB field?

Here are the steps:

  1. Login to Connex.
  2. On the my connections page, click submit.
  3. Hover over the gear and click rules engine.
  4. Click add new rule.
  5. To bind the FOB field, add this rule.
  6. To bind the other field, change the action to map QB other field.

How do I bind a custom field in QB to a custom field in my solution?

If you are using the other or FOB fields, skip this section.

You must add a custom field in QuickBooks. In this example, we will add a custom field called test2:

  1. In QuickBooks, go to customers > customer center.
  2. Double click a customer.
  3. Under additional info, click define fields.
  4. Add a field named test2 and check the cust box.

In this example, we will use Infusionsoft. Each Infusionsoft custom field starts with an underscore. If you had a custom field called CustomField1, its name is _CustomField1.

You must create a mapping between fields in Infusionsoft and QuickBooks. This example maps custom field 1 to the QuickBooks field name of test2:

  1. Login to connexforquickbooks.com.
  2. On the top right, hover over the gear and click rules engine.
  3. Add this rule and edit the fields in all caps.

You have successfully mapped Infusionsoft's _CustomField1 to QuickBooks custom field called test2.

What steps must I perform to bind ShipStation custom fields to other or FOB?

ShipStation's custom field names are static:

  1. CustomField1
  2. CustomField2
  3. CustomField3

You must tell Connex the QB custom field name. Here are some examples:

  1. ShipStation custom field 1 to FOB.
  2. ShipStation custom field 1 to Other.

How do I map a custom field to the QB PO number?

Please contact us to enable custom field syncing from Woo. Once complete, login to Connex. Hover over the gear and click rules engine. The map from is the custom field name in Woo, which is located in the wp_postmeta field. Here is an example rule.

What steps must I perform to bind custom fields to Infusionsoft or WooCommerce?

Under the Connex transaction tab, check map custom fields. For Infusionsoft users, send us the list of custom field API names. Once activated, you must perform these steps:

  1. Map custom field to QuickBooks. 
  2. Add rules saying if the field value is X, then make the value Y. 

In this example, we map the custom field wc_pos_id_register to the QB sales rep field. If the value is 11, then map it to AR.

Here are some custom fields from Woo:

From here, create the rules. Use our bulk rules upload tool:

  1. Login to Connex.
  2. On the my connections page, click submit.
  3. Hover over the gear and click rules engine.
  4. Above the grid, click bulk upload rules.
  5. Save the sheet into a CSV.
  6. Upload the sheet.

If I use WooCommerce, where should the custom fields be located?

Each order contains an order_meta, a dictionary of custom fields and values. Here is what an order looks like:
